Task Statuses

This guide explains the different task statuses in Turfpal and what they mean for workflow and task management.

Task Status Overview

Turfpal uses a color-coding system to provide quick visual feedback about task conditions. Each status has a specific color and purpose in the workflow.

🔵 Planned (Blue)

Default status for all new tasks

  • This is the default color and status when a task is created
  • Indicates that the task is scheduled and waiting to be started
  • Tasks remain in this status until team members manually change them

🟡 In Progress (Yellow)

Active work status

  • Set manually by a user when the job starts
  • Indicates that team members are actively working on the task
  • Important for tracking real-time progress and resource allocation

⚫ On Hold (Gray)

Temporary pause

  • Used when a task is temporarily paused
  • May be due to factors such as weather conditions, waiting for equipment, or other dependencies
  • The task can be resumed and moved back to "In Progress" when obstacles are removed

🔴 Overdue (Red)

Automatic system status

  • Assigned automatically when a task is not started within the planned start time
  • Requires immediate attention from team leaders
  • Helps identify planning challenges and resource bottlenecks

🟢 Finished (Green)

Completed work

  • Set manually by users when a task is completed
  • Indicates that all work is finished and the task requires no further action
  • Important for progress tracking and reporting purposes

🔴 Cancelled (Red)

Stopped tasks

  • Set manually by users when a planned or started task must be cancelled
  • Common reasons include:
    • Unfavorable weather conditions
    • Missing resources or equipment
    • Conflicting activities or priority changes
  • The task can potentially be rescheduled for a later date

🔴 Deleted (Red)

Permanent removal

  • The task is permanently removed from the task board
  • Used when tasks are no longer relevant or were created by mistake
  • Warning: This action cannot be undone

Planned → In Progress → Finished

Alternative Flows

  • Planned → On Hold → In Progress → Finished
  • Planned → Overdue → In Progress → Finished
  • Planned → Cancelled

Best Practices for Status Management

For Team Members

  1. Update statuses immediately: Change tasks to "In Progress" when you start work
  2. Use "On Hold" actively: Don't let tasks hang in "In Progress" if work has stopped
  3. Mark completion: Always set tasks to "Finished" when work is complete
  4. Communicate cancellations: Add comments when tasks are cancelled to explain the reason

For Managers and Planners

  1. Monitor overdue tasks: Review red tasks daily to resolve issues
  2. Analyze cancelled tasks: Look for patterns that can be improved in the planning process
  3. Optimize workflow: Use status data to identify bottlenecks
  4. Train the team: Ensure everyone understands when and why to change task statuses

Reporting and Analytics

Task statuses provide valuable data for:

  • Productivity measurements: Track how quickly tasks move through the system
  • Resource planning: Identify when and where resources are needed most
  • Problem identification: Find recurring issues that cause delays or cancellations
  • Capacity planning: Understand team workload and availability

Use the filtering options in the planner to focus on specific statuses. For example, filter on "Overdue" to quickly identify tasks that need immediate attention.

Some status changes may require specific permissions depending on your user role. Consult the system administrator if you cannot change certain task statuses.

Be careful when deleting tasks, as this action is permanent and may affect historical reports and analytics.
